Hosting International Visitors at Duke (Information for Duke Faculty and Staff)
All Duke faculty and staff who plan to host an international delegation or acting government official should report the visit through our Visit Report Form.
We encourage Duke faculty and staff to host international delegates who are interested in fostering new collaborations or advancing existing partnerships with Duke.
We can help Duke faculty and staff coordinate international visits that involve multiple units and departments on campus and/or meetings with senior leadership. To receive support in coordinating a visit, Duke faculty and staff should provide six weeks’ notice and direct their visit contact to complete the Visit Request Form.
We cannot assist in coordinating the details of international visits that are related to the interests of a single program, department or unit. However, Duke staff and faculty who are independently coordinating a visit with a foreign government official should complete the Visit Report Form and contact Ambassador Patrick Duddy, Senior Advisor for Global Strategy, for assistance with the appropriate protocols and to ensure that Duke is appropriately prepared for the visit (security details, publicity, etc.).
Guidelines for hosting international delegations
- Requests to meet with senior leadership generally require at least 12-14 weeks’ notice. Even with advance notice, we cannot guarantee that senior leadership will be available to meet with the delegation.
- Visiting delegations are most successful if the trip occurs during the academic year, avoiding holidays and the first and last week of each semester to ensure that staff and faculty are available to meet.
- Due to the limited availability of space, we can only accommodate delegations of ten visitors or less.
